What we look for

We welcome vendors who add originality, care, and strong community spirit to the North Carolina Azalea Festival Street Fair.

Handmade and original

We prioritize handmade goods, original products, and food made from scratch. We do not accept mass-produced, bulk-purchased items, or 3D-printed products.

Presentation

Your booth should reflect care and professionalism, with a clean setup, organized display, and thoughtful decor.

Local businesses

We are proud to support North Carolina businesses. Local vendors do not receive automatic acceptance, but out-of-state applicants face stronger competition because space is limited.

Variety

Each application is reviewed with the full Street Fair in mind so we can maintain a balanced mix of products, food, and experiences.

Festival spirit

We value vendors who treat downtown Wilmington, neighboring businesses, fellow vendors, volunteers, and guests with kindness and respect.

Community mindset

Vendors are expected to leave their space clean and help create a positive Festival weekend for everyone on the street.

Please note: Selection guidelines may differ for sponsors, whose support helps make the Festival possible each year.


Please complete the registration form as thoroughly as possible. Booth space requests will be reviewed based on availability, event fit, and operational needs.

APPLICATION PROCESS

  1. Complete the online application and pay the non-refundable $25 application fee. Be sure to include all required photos and documentation. Incomplete applications will not be reviewed.
  2. Applications are reviewed by the Festival Committee based on a variety of factors, including applicant volume, vendor category, product offerings, availability, and overall Festival needs. Please select the category that best represents your business. Vendors who apply under an incorrect category may be responsible for paying the difference in booth fees. The Festival Committee makes the final determination regarding vendor classification.

     

  3. Upon acceptance, you will receive an email with instructions for completing your booth registration and payment.

  4. Booth fees must be paid by the applicable deadlines listed below to secure your space. Booth locations are assigned by the Festival and are not guaranteed based on request. Location assignments take into consideration payment date, availability, vendor type, and the overall Festival layout. 
  5. Prior to the Festival, accepted vendors will receive an email with detailed information regarding booth setup, check-in, event expectations, and other important instructions.

POST-ACCEPTANCE REQUIREMENTS

All Vendors

  • Certificate of Insurance (COI) listing the North Carolina Azalea Festival at Wilmington, Inc. as an Additional Insured
      • All vendors must provide a Certificate of Insurance (COI) with coverage of $2M aggregate / $1M per occurrence for the dates of the Festival, April 9-11, 2027
      • COI must list North Carolina Azalea Festival at Wilmington, Inc. as additionally insured.
      • A temporary 3-day policy may be obtained from Harold Wells Insurance: (910) 762-8551.
      • All vendors must obtain an NC Sales Tax ID via the NC Department of Revenue or call 1-877-252-3052.
Food Vendors

In addition to the requirements above:

  • Health Department Permit and successful on-site inspection
  • Temporary Food Establishment Permit through the NHC COAST Portal

Friday, April 9th, 2027: 3:00 PM - 7:00 PM

Saturday, April 10th, 2027: 10:00 AM - 5:00 PM

Sunday, April 11th, 2027: 10:00 AM - 3:00 PM

Overnight security is provided, but vendors are responsible for their property. Festival is not liable for loss or damage. Vendors must comply with fire, safety, and local regulations. No refunds for any reason once accepted.

 

Required Insurance:

Max 50 amps per booth.

Electricity is limited and must be requested and paid for in advance.

Bring 200-ft cords, grounded and rated for your needs.

All electric setups must pass inspection.

Vendors using electricity must have a 5lb fire extinguisher (tagged within one year).

The Street Fair is located in an area with heavy winds. To safely secure tents, please be prepared with 50 lbs of weight for each leg of the tent.

 

Booths must be staffed at all times. Displays must remain within your space.


No oversized signage. Vendor signage/menus/flags/display may not exceed 15 ft from the ground.


No amplified music, inappropriate content, or unapproved sales. Report misconduct to streetfair@ncazaleafestival.org


Treat guests, vendors, volunteers, and staff with respect.

All food vendors must have permits and pass Health Department inspections.

Wine may only be sold by the bottle; tasting is allowed for 21+.

No liquor sampling is allowed.

An ABC permit is required for alcohol vendors.

No assigned parking for Arts or Commercial vendors. Use city decks or free weekend street parking.


Refrigerated food vendors will be assigned parking nearby.

Leave no trash, oils, grease, or debris in or around your booth. No dumping into streets, drains, or public property.


All booths, materials, merchandise, and equipment MUST be completely removed from the streets by 7:00 PM on Sunday. The streets will reopen to the public at that time. Failure to comply with this requirement may result in the vendor being prohibited from participating in future Festival events. 

Abandoned Booth
If you leave your booth unattended during required Festival hours, you may be asked to leave the Street Fair and may be prohibited from participating in future Festival events.

No-Show
If you do not show up for the Festival without providing advance notice, you may be prohibited from participating in future Festival events.

Excessive Takedown
All booths, materials, merchandise, and equipment must be completely removed from the streets by 7:00 PM on Sunday. Vendors who do not complete their takedown by this time may be prohibited from participating in future Festival events.

Misrepresentation on Application
Vendors must sell and promote only the products or services submitted and approved as part of their application. If a vendor is found to be selling products substantially different from what was submitted, they may be asked to leave and may be prohibited from participating in future Festival events.

Alcohol Sales
Vendors may only sell or sample alcoholic beverages if they have been specifically approved and have all required permits and certifications. Selling or distributing alcohol in violation of Festival rules may result in immediate removal from the Street Fair and may result in the vendor being prohibited from participating in future Festival events.

Vendor License & Identification
Your Vendor License must be clearly displayed and visible to Festival staff throughout the event. Vendors who fail to properly display their Vendor License may be asked to correct the issue immediately. Continued failure to comply may result in removal from the Street Fair and/or loss of eligibility for future Festival participation.

What is your expected attendance?

We anticipate over 200,000 visitors and residents enjoying the Street Fair this year.

Can I bring my pets with me?

Sorry, no pets or animals are allowed for any purpose at the Street Fair due to city ordinance.

How does weather affect the Street Fair?

We will try and continue the Street Fair in rain and wind unless it becomes hazardous. In hazardous situations, we recommend vendors shutting down their booths temporarily.

How do I apply to be a part of the Street Fair?

To be considered as a vendor for the Street Fair, you must complete the online application and submit the non-refundable $25 application fee. After you submit the application, you will receive a confirmation email. Your application will not be considered until all requested documents and photos are submitted. Current insurance information is not needed until you receive an acceptance notification.

How do you choose vendors for the Street Fair?

The North Carolina Azalea Festival Street Fair Committee is made up of volunteers who donate their time, energy, and resources each year to make the Street Fair a success. Applications are reviewed in order, and preference is given to vendors who have submitted all required documentation and photos.

I sell a product or service. Will the committee accept me?

We welcome a wide variety of vendors at the Street Fair. If you offer a unique, well-made product, we encourage you to apply.

I do not have access to a computer. Can I complete a paper application?

The Street Fair application is online only. If you do not have a computer at home, we recommend using your local library. If you still need help, please call our office and we will help you complete the application.

How do I know what kind of vendor I am?

Food Vendor: Sells food prepared and cooked on-site and must meet all Health Department and fire safety standards.

Arts and Crafts Vendor: Handmade or self-produced goods only. Resale of mass-produced or third-party items is not allowed.

Commercial Vendor, Small Business: Locally owned businesses with storefronts or services, not franchises or national chains.

Commercial Vendor, National Brand: Corporations, franchises, or nationally recognized brands.

Can I choose my location?

Placement is based on a first-pay, first-served basis for vendors who have paid in full. The Street Fair layout can change due to construction or other logistical needs, so vendors may need to be relocated on-site.

Do I have to have an NC sales tax ID?

Yes. Every vendor must have an NC sales tax ID, whether you live in North Carolina or another state. You can get one by completing the NC-BR form with the North Carolina Department of Revenue online or by calling 1-877-252-3052.

I have submitted my application. What happens next?

You will be notified by the Street Fair team within 2 to 4 weeks of submission whether you have been accepted or denied. If you are approved, you will receive directions on how to pay. Spots are not final until payment is made in full. Food vendors may wait longer for approvals.

Why was my application denied?

Vendors may be denied for a variety of reasons, and in many cases the decision has nothing to do with product quality. The goal is to create a diverse, well-balanced Street Fair with a strong variety of vendors and merchandise.

To avoid oversaturation, the Festival limits the number of vendors selling similar products. Because applications are reviewed on a rolling basis, later applications may be denied or waitlisted if a category is already full. A limited number of spaces are also reserved for out-of-state vendors.

The Festival does not accept thrift stores, knock-off or counterfeit brands, or political or issue-based vendors.

How much is my booth payment and what is included?

Your booth payment covers your space at the Street Fair. Vendors must bring their own tables, chairs, tents, and signage.

Food Vendors: 10x10 booth ($900), 10x20 booth ($1,800)

Arts and Crafts: 10x10 booth ($350), 10x20 booth ($700)

Commercial, Small Business: 10x10 booth ($650), 10x20 booth ($1,300)

Commercial, National Brand: 10x10 booth ($1,300), 10x20 booth ($2,600)

501(c)(3) Nonprofit: 10x10 booth ($100). Additional booth space is charged at the Arts and Crafts rate.

Street Fair Business Zone: 10x10 booth ($200)

Electricity add-ons for non-food vendors: First 120V circuit ($75), each additional 120V ($50). Vendors who purchase electricity must provide their own 100-foot cord and fire extinguisher.

If your business wants a larger presence at the Street Fair, sponsorship opportunities are also available.

What payment types can vendors accept?

Vendors typically accept cash or check. If you can accept credit or debit cards through iSquare or another device, that is also allowed. Vendors are responsible for their own PCI compliance.

I am traveling to the Street Fair. Where should I stay?

The Hotel Ballast is the closest property to the Street Fair and serves as the Azalea Festival headquarters during the Festival. Rooms fill quickly, so reserve early.

The Embassy Suites by Hilton Wilmington Riverfront is another nearby option.

How will I know where my booth is, where restrooms are, and where to check in?

About 2 weeks before the Festival, vendors will receive an email with Street Fair details and the vendor check-in process. At check-in on Friday morning, vendors will also receive a Street Fair map, their vendor permit, and booth location.

What if I have to cancel or do not show up?

Refunds are not given for cancellations. Under severe circumstances, a refund may be approved if the Festival is notified in advance.
